Booking Terms & Conditions

1. Travel Bookings

· All bookings can be made through beachtag either via a) beachtag web quote me form, b) telephonically on 011 759 5115 or C) via email info@beachtag.co.za. All bookings are subject to beachtag’s cancellation policy,

· All quotations are valid for the dates specified and are subject to adjustment if the services quoted for are not available at the time of booking, or should the traveller change the duration of the trip or service types. Changes to the quotation, requested by the traveller, that incur additional costs will be charged to the traveller. Prices are also subject to adjustment in the event of changes in government imposed taxes, fuel prices, air fares, hotel charges, tourism levies and/or the introduction of national, regional or local taxes or levies of whatever nature. Prices for the services of sub-contractors/third parties may vary, however such changes will be communicated in writing to the traveller where possible. Acceptance of the quotation will be regarded as acceptance of beachtag’s Terms and Conditions of business.

· Once hotel reservations have been confirmed, the third party supplier has the right to substitute hotels listed with others of a similar or higher category at no additional cost to the traveller, even after departure from South Africa. All facilities, amenities and activities are subject to change at the respective hotels without prior notice.

· Special requests must be requested at the time of booking. We, and our partners, will endeavour to comply with the special requests, however, cannot guarantee that they will be met.

· On confirmation of all bookings, you will be required to complete and sign a booking form. A non-refundable deposit between 20% - 40% of the total tour price is payable within 72 hours of confirmation of the booking. This deposit will be in addition to the price (including departure taxes) for the air fare which must be paid for by the specified date, stipulated by the airline. The balance of the invoice will be payable in full 8 weeks prior to departure.

· All land prices are guaranteed once full payment has been received, except where subsequent increases re beyond the control of beachtag and their providers. Air fares are subject to the prices and conditions quoted by the airline and cannot by guaranteed by beachtag and their preferred partners. beachtag acts on behalf of her principles and can not be held responsible for any increases, cancellations or changes effected by these principles.

· All prices EXCLUDE departure taxes and are listed separately as these prices change daily. Package prices only include items listed on the final confirmation.

2. Payments:

· Beachtag will accept payment for all land arrangements in cash, bank guaranteed cheques, EFT’s or credit cards, subject to certain criteria being met for EFT and credit card payments.

· Payments must be effected timeously to meet payment clearance (bank guarantee and EFT payments) within time frames.

· A non-refundable deposit between 20% - 40% of the total tour price is payable within 72 hours of confirmation of the booking. This deposit will be in addition to the price (including departure taxes) for the air fare which must be paid for by the specified date, stipulated by the airline.

· Full balance is payable 8 weeks prior to departure

3. Cancellation and Curtailment

· Cancellations are only effective on receipt of written notification.

LAND ARRANGEMENTS

· From time of booking up to 8 weeks prior to departure, the deposit is forfeited. Cancellation fees during peak period being 20 December – 08 January, will be more stringent. Cancellation fees are as follows:  o 8 weeks prior to departure: 35% of tota ltour price.o 6 weeks prior to departure: 40% of totalof tour price. o 4 weeks prior to departure: 60% of total of tour price.o 3 weeks prior to departure: 100% of total tour price.

AIR ARRANGEMENTS

· Cancellation fees apply once tickets have been issued irrespective of departure date. These fees are usually between 25% - 100% dependant of the carrier used and type of tickets issued.

· Should the traveller fail to take up the booking, no refund nor will credit be granted for unused services.

All travel arrangements, such as flight bookings, reservations of hotel accommodation, reservation of motor transport and the like, made by beachtag are further subject to the booking conditions and cancellation provisions of the supplier thereof.

4. Amendments

Amendments to confirmed reservations will be processed at a fee of R500 (including VAT) for each alteration made to the booking after the initial reservation. If notice of amendments is received within 8 weeks prior to departure, the above cancellation charges may be levied. Administration charges will be levied on all documents / vouchers submitted for re-issue or refund. Changes to air tickets once they have been issued, constitute an amendment.

5. Delays

Beachtag or their preferred partners, does  not hold itself responsible for any delays prior to departure nor during the trip, whether brought about by technical difficulties, strikes, weather conditions or any other circumstances whatsoever, whether foreseen or unforeseen. Any expenses relating to these unscheduled extensions will be for the travelers account (see insurance).


6. Insurance

Iit is a condition of booking that the traveller take up comprehensive travel and medical insurance to cover them selves and dependants for the duration of their trip.

This insurance should include cover in the respect of, but not limited to the following eventualities:

o Cancellation and curtailment

o Emergency evacuation cost

o Medical cover

o Repatriation cover

o Baggage insurance - optional


beachtag, including its representatives, employees and travellers will take no responsibility for any costs or losses incurred or suffered by the traveller, traveller’s dependants or travelling companions, with regards to, but not limited to, any of the above mentioned eventualities. Should the traveller not be carrying the relevant insurance cover, they may be charged directly by the relevant service providers for any emergency services they require, or may find themselves in a position unable to access such services.

7. Travel Documents

Documentation is only prepared on receipt of full payment and a signed booking form & travel declaration. All travellers will be personally responsible for ensuring that they are in possession of the correct documentation prior to their departure. beachtag does not accept responsibility for any consequences whatsoever from a traveler failing to ensure that he/she has complied with the necessary travel requirements.

8. Itinerary Changes

The company reserves the right to cancel the tour prior to departure, in which event the entire tour price paid by the passenger will be refunded without prejudice and any further obligation on the part of beachtag and their suppliers. Whilst every effort is to keep all itineraries, beachtag and our suppliers reserve the right to make any changes for the passengers convienence.

9. Passport & Travelling Visas

The onus is on the traveller to ensure their passports are valid for travel and that they are in possession of valid visas for all countries being visited and that all necessary health certificates for these destinations are in order. Furthermore, the traveller must ensure that he/she has the necessary re-entry permits to entry South Africa. beachtag and its staff cannot be held liable for any visas, or costs thereof, not obtained by the traveller prior to departure.

The traveller shall be solely responsible for complying with the formalities required by police, customs, immigration, health and all other authorities at the point of arrival, departure and whilst in transit, in each and every country. Whilst beachtag will endeavour to provide the traveller, prior to departure, with the latest information concerning such regulations and restrictions it shall not be responsible and does not accept any liability for any inaccuracies or omissions in this regard.


10. Health Requirements

It is the travellers responsibility to ensure that all the required vaccinations and inoculations for the countries being visited have been obtained. Please note that many areas of travel within Africa and the Indian Ocean are Malaria areas and all travellers must consult their doctors before travelling and ensure that all anti-malarial precautions are taken, followed and advised upon at the time of travel.
